AMS Medical Data Access for the Athlete
What is the AMS
The Athlete Management System (AMS) is a national platform for capturing and reporting on a variety of information sources including individual medical data. Athlete data is only captured with consent by the individual themselves through the AMS Terms and Conditions. The AMS is used by National Sporting Organisations (NSOs), the National Institute Network (NIN) and commits to strong data security and integrity practices to support required health records and privacy legislation.
Request Process
Athletes can request access to their medical data at any point during or after their time as an athlete. These are the steps to request an athlete’s medical data stored in the AMS.
- First step is to reach out to your NSO or NINs Chief Medical Officer (CMO) formally requesting access to the data. This can be done by the athlete or by the treating physician on behalf of the athlete. Please ensure to detail what type of data you need. e.g. Injury and Illness Records (an example request form is available at the bottom of this article).
- This formal request will then be reviewed by the CMO and Australian Institute of Sports (AIS) CMO.
- Once approved the CMO will then reach out to the AIS AMS team to extract this data into a secure server folder.
- The extracted data is then reviewed by the CMO to ensure data integrity is met.
- The AIS Governance & Risk team is then able to securely share the data with the athlete and or medical clinic.
Medical Data Export and Recommended Safeguarding
Depending on the dataset, the athlete’s medical data will be exported in either PDF or CSV format. By default, the secure link to the export folder will expire after 30 days, after which the exported copies will be automatically deleted.
If athletes are to be the recipient of their sensitive medical data, they are encouraged to take all reasonable precautions to securely store the information on their personal devices, such as using password encryption tools. If the data needs to be shared with a medical practitioner or clinic, it is strongly recommended that this is done in person or via a secure data-sharing platform rather than through open methods such as email attachments.
