Understanding AMS Access
As a professional user, your access to data is determined by:
- GROUPS - these provide you access to accounts. Users are considered as either:
- COACH - users added as a "coach" of a group will have access to the accounts of "athletes' in that group.
- ATHLETE - users added as an "athlete" will only be able to enter and view their own data.
- ROLES - these provide access to forms and datasets.
The combination of groups (accounts) and roles (datasets) is how access is granted and limited on the AMS.
UNDERSTANDING GROUP HEIRARCHIES
Groups on the AMS follow a hierarchical structure, allowing for groups to be organised in a logical manner. A hierarchical structure allows for a flexible, convenient way of assigning access to coaches and staff - being a coach of a group higher up the hierarchy provides access to the immediate group and all sub-groups below. Conversely, being a coach of a sub-group further down the line may provide access to just the athletes in that sub-group. Understandably, due to resource limitations and practicality, groups are generally not created on a per coach basis so a suitable level of granularity is required.
There are various means of organising these hierarchies that is mostly decided by the sport's preference; each one with their own pros and cons.
For example, hierarchies may be arranged by sport discipline and then further categorised into HP and Pathway bins:
Alternatively, it may make sense to categorise groups by the states in which DTEs are located enabling state coaches to access and load all programs in that state at once:
However, it may make more sense to categorise via discipline first and then split into states:
Each method has its own pros and cons and should be discussed with your AMS consultant.
HOW TO: CHANGE GROUPS
1. There are three different ways to change groups from the AMS home screen

UNDERSTANDING ROLES
Essentially roles are a collection of permissions that allow you to use the site in certain ways.
Of these permissions, there are 2 types:
- SYSTEM PERMISSIONS - These permissions govern a user's ability to see and access AMS tools such as data entry, editing their account details, viewing dashboards and running reports.
- DATA PERMISSIONS - These permissions are specific to the content of the AMS site and they govern a user's ability to interact with specific forms, dashboards and categories and how they can interact with them (e.g. view vs. delete access to a form).
UNDERSTANDING HOW WE APPLY ROLES
Note that roles are additive allowing for a base set of permissions to be applied across the network and then more specific permissions as required. As such, generally new accounts are given a generic discipline role that provides access to standardised, network wide datasets and then a sport specific role that provides access to bespoke forms and dashboards developed for a given sport.
Data Permissions
Data permissions are specific to the content on your AMS site. Forms have different types of permissions according to whether they are event, profile, database or related entity forms. These are Linked, Calendar, Read, Write and Delete permissions, with the former two only applying to event and profile forms. Permissions for forms are somewhat hierarchical in the sense that having the Write permission automatically allows a form to be read and having the Delete permission allows the form to be read and written. When assigning Write or Delete permission to a form, the inherent permissions will automatically be selected.
In the screenshot below, the Coach role has been assigned Write access to the Big Five Inventory Test and Army Combat Fitness Test event forms. Since the Read permission is inherently included in Write, the boxes have been automatically ticked and greyed out.
