Basic AMS Usage (Suggested)
HIGH LEVEL SUGGESTIONS
As mentioned in the Site Navigation, Data Entry & Reporting help page, the most basic actions on AMS can be summarised as following:
DATA ENTRY:
- Favourite Events
- Enter Data for Athlete/Group
- Dashboard "Click Throughs" (to edit existing data)
DATA CONSUMPTION:
- Front Page Dashboard
- Favourite Dashboards
- Dashboards (tab at top of page)
- Reports
Understanding this high level usage of AMS will get you most of the way to being a high level user of AMS.
However, here are a few more suggestions to help you work more efficiently:
OTHER SUGGESTIONS
GENERAL USE OF CONSULT AND LINKING DATA
The consult form is potentially the "driving" form of the AMS from where you can perform numerous other tasks and access numerous other forms. While it is possible to use the consult form simply to access other core discipline forms (in fact, it's a very viable option, especially if you do not have favourite events set up) it is recommended to complete you Para Carer Evaluation, Para Carer Travel Review etc. records first and then creating a consult records and going through the linking process.
The benefits of this is multi-fold. Most obviously, it prioritises the entry of the main dataset, not treating it as an add on. Secondly, it reduces the risk of lost data. To be clear, under normal circumstances when being redirected out of the consult form to enter data into another form you will return to the consult record with all data entered intact. However, if you are experiencing Wi-Fi issues you run the risk of your browser crashing having not saved your entered data. It is best to enter the main dataset first, saving as a draft regularly if there is a great deal of data being entered and ensuring that you have a solid Wi-Fi connection when saving.
INTER-DISCIPLINE SHARING OF EVALUATIONS & REVIEWS
As above, it is recommended to enter an evaluation or review first, before creating a consult record to share.
When entering an evaluation or review, you have the option to create a report by selecting portions of the current record to add to a report. This is simply for sharing purposes; other Para Carers will have access to the full record.
Once you have created a report that you are happy to share, save the record and create a new consult record. Simply complete the consult record as you normally would, entering notes as required, and be sure to link the evaluation/review record that you just created. When completing the sharing section, be sure to select the option of adding the linked record details to the shared note. This will add the report that you created to the shared note that you can then selectively share with other disciplines without having to type it out again.
SHARING NOTES WITH OTHER PARA CARERS
Remember that access to data entered against an athlete is governed by groups and roles. If another carer requires access to an athlete's data (presently or in the future) they will just need access to a group that the athlete is in as they will already have the Para Carer role. Therefore, you do not have to consider extra provisions for sharing information to carers in the consult sharing process - their access to an athlete's notes is more closely related to groups administration
UPDATING PARA CARER EVALUATION WITH NEW INFORMATION
In a scenario where you have run an updated evaluation or have returned from travel and wish to update assistance requirements, it is recommended to create a new Para Carer Evaluation record rather than adding to an existing record. This preserves historical records and demonstrates ongoing service provision. Note that subsequent evaluation entries will retain values from previous entries so you will not have to start from zero each time.
